Fee season is a reconciliation problem wearing a deadline

Fees arrive in concentrated windows, from parents rather than students, often with the wrong reference, sometimes in instalments. The collection is not hard. Working out whose fee just landed is.

The problem

What breaks in education

Payer is not the student

A parent transfers from their own account with their own name on it, and the reference to the student is whatever they remembered to type.

Concentrated deadlines

Most of a term's collection lands in a few days, which is when reconciliation backs up.

Instalments and part payments

Fee plans split across the term, and part payments have to be tracked against a balance.

Refunds on withdrawal

Withdrawals trigger partial refunds under a published policy, often mid-term.

What we do

How this is handled

A virtual account per student

Whoever pays and whatever they type, the credit is attributed to the right student.

Payment links per invoice

Send a link over WhatsApp or email that carries the student and the amount with it.

Instalment tracking

Part payments land against a balance rather than an unallocated pool.

Cohort-level reporting

Collection reported by term, course and cohort without a manual join.

Questions

Education, answered

Can parents pay without a login?

Yes. A payment link or a virtual account number needs no account, no app and no login. That matters when the payer is a parent using their bank once a term.

Can we take fees in instalments?

Yes. Part payments are attributed to the student and tracked against the outstanding balance, so you can see who is partway rather than just who has not paid.

How are withdrawal refunds handled?

Refunds go back to the original payment instrument. Your refund policy determines the amount; we handle the movement and give you a trackable status.
